Step 1: Project Start Meeting

Every project kicks off with a Project Start Meeting where we set the stage for success by covering all the critical details:

  • Project Team: We’ll confirm who will be on the project team, including your Project Lead and the key points of contact for any queries or issues. We’ll also explain the escalation process, so you know how any concerns will be handled.

  • Timeline: We’ll outline the project timeline based on the scope of the work and any customer-specific considerations. This is where we clarify expectations, such as how delays in responses can affect progress and timelines.

  • Documentation Handover: We’ll provide all necessary documentation, such as custom fields, user details, and data migration templates. These documents will have a required completion date, which is crucial to keeping the project on track.

  • Wrap-up: Finally, we’ll ensure everyone is aligned, address any final questions, and officially get the project underway!

Step 2: Internal Team Start

Once the groundwork is set, our internal team springs into action:

  • Task Allocation: Each task is assigned to the consultant best suited for that specific area, ensuring a high level of expertise and efficiency.

  • Timeline Confirmation: Internal timelines are set and agreed upon based on the team’s workload and project requirements.

  • Project Work Commences: The project officially kicks off, and the development process begins in full swing.
     

Step 3: Weekly Update Call

For projects that extend beyond one week, we’ll schedule regular Weekly Update Calls to keep you informed and aligned on progress. During these calls, we will:

​

  • Discuss what’s been accomplished over the past week

  • Highlight any risks or potential delays to the timeline

  • Review the plan for the upcoming week

  • Address any outstanding needs or requirements from your side, and work together to keep things moving

​

These update calls ensure open communication and keep the project running smoothly.

Step 4: Internal Testing

Once the build phase is complete, we begin Internal Testing to ensure the system operates as expected. Here's how we handle it:

​

  • We test your system with a small batch of test data that you have provided to verify that everything is functioning properly.

  • Any bugs or issues are identified and fixed before moving forward.

  • Our goal is to ensure the system is as close to flawless as possible before it reaches your team.
     

Step 5: User Acceptance Testing (UAT)

After internal testing, we transition to User Acceptance Testing (UAT), giving your team the opportunity to test the system themselves:

  • We grant access to a select group of users from your team who will put the system through real-world scenarios.

  • We'll guide these users on how to operate the system, ensuring they feel comfortable with the new tools.

  • Should you have any requests for changes that fall outside the original project scope, we’ll raise a change request proposal, including estimates for the additional work and how it might impact the timeline.


This step ensures the system meets your operational needs before going live.

Step 6: Deployment

With testing complete and everything in place, we move to Deployment:

  • The system is deployed into your live, production environment.

  • We run final tests to ensure everything has migrated smoothly and is functioning as expected in its new environment.


This is the exciting moment when your team can start using the new system!

Step 7: Training

To ensure a smooth transition, we provide training sessions for your team:

  • We tailor these sessions to your requirements, whether that means one large training session or multiple smaller sessions to accommodate different teams.

  • Our focus is on making sure everyone understands how to use the new system effectively, which is key to driving user adoption and maximizing the value of your investment.
